Collections

Overview

Collections are optional product attributes used to group products by a shared collection name. A collection can represent a season, line, campaign, display group, or any other product grouping your business uses.

When collection tracking is enabled, collections can be assigned to products, shown in the Products list, used in product search, and updated through product bulk actions.

Accessing Collections

Open Products Setup -> Collections.

The Collections menu item appears only when collection tracking is enabled and the user has permission to access product collections.

The Collections page shows configured collections in a table.

The list includes:

  • Collection name
  • Created date
  • Action buttons

The table supports the standard list tools, including sorting and search.

Action buttons depend on user permissions. Users may see buttons for adding, editing, or deleting collections.

Adding a Collection

Click the plus button in the actions column to open the Add New Collection modal.

The add form includes:

  • Collection Name: required.
  • Collection Description: optional.

Click Add to create the collection.

Collection names must be unique. If the same collection name already exists, the system shows an error and does not create a duplicate.

Editing a Collection

Click the pencil button beside a collection to open the edit modal.

Editable fields include:

  • Collection name
  • Collection description

The edit modal also shows the collection created date.

Click Update to save changes.

Collection names must remain unique.

Deleting a Collection

Click the trash button beside a collection to open the delete confirmation modal.

Confirm the modal to delete the collection.

The active delete workflow removes the collection record. No active enable or disable status control was found for collections.

Before deleting a collection, review products that may use that collection value.

Where Collections Are Used

Collections are used in Products when collection tracking is enabled.

Collections appear in:

  • Product creation
  • Product editing
  • Products list columns
  • Products list search and filtering
  • Bulk collection update from the Products list
  • Product detail view
  • Product labels and reports where product collection is displayed

When adding or editing a product, the collection field uses the collection list from this page.

If a product is saved without a collection, the system can store a default blank or placeholder value.

Common Mistakes
  • Creating a collection with a name that already exists.
  • Deleting a collection before checking which products use it.
  • Expecting the Collections menu to appear when collection tracking is disabled.
  • Expecting an enable or disable toggle; the active UI does not include one.
  • Confusing Collections with inventory store locations. The route behind this page is named stores, but the active Products Setup UI labels and uses it as Collections.

Troubleshooting

The Collections menu is not visible.
Check that collection tracking is enabled and that the user has permission for product collections.

The plus button is missing.
The user may not have permission to add collections.

The edit button is missing.
The user may not have permission to update collections.

The delete button is missing.
The user may not have permission to delete collections.

A collection cannot be saved.
Check whether another collection already uses the same name.

A product collection field is missing.
Collection tracking may be disabled in company settings.

A collection is still visible on old products after changes.
Review the products assigned to that collection and update their collection field if needed.
